Give Nia a clear starting point: the facts customers need, the questions they ask and when a person should step in.

Start with the questions you already answer
You do not need a polished manual. Gather the information you repeatedly explain on the phone, at the counter or in an email. A short, accurate document is more useful than a long collection of old policies.
Nia’s setup is guided. Preparing this information does not activate your website assistant, connect a calendar or authorize a payment.
Put the essentials in one place
- Business name, locations, service area and preferred contact details.
- Opening hours, holiday exceptions and business time zone.
- Services you offer, who they are for and any exclusions.
- Approved pricing language: exact prices where fixed, and what needs a quote.
- Frequently asked questions with answers you are comfortable giving publicly.
Explain what needs a person
For each answer, note who owns the policy and when it was last checked. If your website and internal document disagree, resolve the conflict before treating either as an instruction.
- Requests that need approval, including discounts, exceptions and commitments.
- The details needed for a useful callback or handoff.
- A realistic fallback when Nia cannot complete the next step.
Check it with a few ordinary enquiries
- Try a simple question such as opening hours.
- Try a request outside your service area or approved scope.
- Try a question with missing information and check whether the next question is useful.
- Confirm where unresolved work goes and who will act on it.
