Decide what you want the call to accomplish
A customer calls while you are with someone else. The useful outcome may be simple: acknowledge the request, collect a callback number and pass a clear message to the right person. Start there before adding booking or other actions.

Choose what “your voice” means
A business-branded assistant uses your name, tone and terminology. A recorded greeting uses an approved audio recording in a supported flow. A synthetic owner voice is a separate implementation question requiring confirmed provider support and appropriate consent. None of these should imply that the actual owner is speaking live.

- Recorded greeting: ask for the confirmed recording and delivery requirements.
- Synthetic owner voice: discuss feasibility and consent before preparing a recording package.
Prepare the call-handling brief
- When calls should reach the assistant: after hours, no answer or another agreed rule.
- Current business number and carrier; the routing method is confirmed during setup.
- Opening hours, services and facts it may give callers.
- Message fields: name, callback number, reason and preferred callback time.
- Who receives the message and what response time you can realistically offer.
- The fallback if routing, answering or message delivery fails.
Start with a clear greeting
An illustrative starting point: “Thanks for calling [business]. I’m the business’s AI assistant. I can take a message for the team. What can I help pass along?”
If you want audio included, record in a quiet room with one speaker and no background music. Wait for the confirmed voice route before choosing a duration or file format. Send recordings only through the agreed private submission route.
Test before using it for real calls
- Test the intended routing with an agreed test caller.
- Check that names and callback numbers are captured correctly.
- Try silence, an unclear request and a request that needs a person.
- Confirm message delivery and the fallback path.
- Approve the verified scope before activating customer calls.
